The front desk lives in two queues: Check-in (today's arrivals) and Check-out (in-house guests due to leave).
Checking a guest in
- Open the Check-in queue — overdue arrivals are highlighted.
- Press Check In on the guest's row. A dialog opens asking two things.
- Check-in time — defaults to now. Change it if you are recording an arrival that already happened.
- Nationality — this is the passport-inspection moment, and what you pick here is what the DOT guest statistics report counts. Online bookings default to Filipino, so correct it now; a later edit to the guest profile will not reclassify a filed period.
- Confirm. The room automatically becomes occupied, and an amber panel lists guest reminders that are still pending — anything due by the end of today, so ones missed on an earlier day stay on the list, flagged overdue, until someone clears them.
Guests under 18
Type a date of birth on a guest profile and the form works out the age as you go. Under 18 and it
says so straight away — and the profile and the guest list then carry an amber Minor badge, so whoever
meets them at the desk sees it without doing the arithmetic. Leave the birth date blank and nothing is flagged: the
system will not guess an age it was never given.
The badge is a prompt, not a block — you can still book and check the guest in. What it is telling you is to apply
your property's policy first: a guest under 18 normally needs an accompanying adult, or written guardian consent kept
on file with the booking. Note it on the reservation so the next shift can see it was handled.
Guest reminders
Wake-up calls, amenity deliveries, airport pickups and checkout nudges are booked as reminders on
the reservation page, and the ones due today surface on this queue.
- A reminder must be set in the future — the picker will not offer a time that has already
passed, and the system refuses one anyway. A 6 a.m. wake-up call entered at 8 a.m. would never fire,
so book it for tomorrow.
- Mark a reminder done once you have made the call; it leaves the panel and keeps a completion time.
Checking a guest out
- Open the Check-out queue — it shows each guest's balance due.
- Press Check Out. This does not depart the guest — it opens their checkout folio, the final bill: room charges, folio extras, payments, and what is still owed.
- While anything is owed the button there reads Check-out Blocked and cannot be pressed. Record the payment on that same page to unlock it (see the Payments topic).
- Once the balance is zero, press Confirm Check-out, check the departure time in the dialog, and confirm. The room automatically becomes dirty for housekeeping.
Reviewing the bill before you depart a guest is the point of the detour — once they walk out, collecting is someone else's problem.
Guest wants to stay another night
- Open the reservation and press Extend Stay — it appears only while the guest is checked in.
- Pick the new check-out date. Extend only pushes a stay later; to shorten one, edit the reservation.
- If another booking already covers the added nights the extension is refused — move that guest or move this one.
- The nights and total are recalculated at the booking's existing nightly rate, and the new charge lands on the same folio.
Made a mistake? Everything reverses
- Undo check-in — back to confirmed; the room is freed.
- Undo check-out — back to checked-in; blocked if another guest already took the room.
- No-show / Cancel / Restore — all available from the reservation page, and every action is written to the activity log.
Transfer Room (reservation page, checked-in guests only) checks the new room's status right
now — nothing else. It does not check whether that room is free for the rest of the stay, so
moving a guest into a clean room that has an arrival tomorrow quietly double-books it. Check the Calendar for
the new room's remaining nights before you transfer, and remember the transfer moves the guest, not the price:
the nightly rate and total stay with the original booking until you edit it.
