Anything broken becomes a work order: who reported it, what's wrong, how urgent, and what happened.
Reporting a problem
- Open Maintenance → New Work Order.
- Choose Specific Room and pick it, or switch to Common Area and type where it is (lobby, 2nd-floor hallway, pool deck). Use the toggle — leaving the room dropdown empty on the Specific Room side files the order as "Room (unspecified)" instead.
- Choose a category (electrical, plumbing, HVAC, furniture, appliances, structural, other) and a priority (urgent / high / normal / low).
- Optionally take the room out of service right from the form — it flips to maintenance status so the front desk can't sell it.
Working the list
- Work orders move open → in progress → resolved; filter tabs and priority sorting keep the list honest.
- Resolving can release the room back to clean/available in the same action — and while the
order is still open, this is the only way that room goes back on sale: housekeeping and Room
Management both refuse to release it.
- Fixed it badly? Reopen puts the order back in play.
Priorities carry expectations: urgent = same day, high = 3 days, normal = a week. The
Maintenance Backlog & MTTR report flags anything overdue by those clocks.
