A reservation holds one room for one guest across a date range. Booking numbers look like 2026-08-000123 — year, month, and a sequence that runs through the whole year.

Creating one

  1. Go to Reservations → New Reservation.
  2. Pick the check-in and check-out dates first — the room picker greys out rooms with clashing bookings live as you change dates, and labels why ("Booked Aug 15–19").
  3. Tick one room — or several rooms for a group booking (one guest, many rooms): the system creates a group with its own GRP- number and a combined summary page.
  4. Optionally apply a rate plan — the nightly rate preview updates as you choose.
  5. Enter the guest's details. On a single-room booking you can collect a deposit here — percent, fixed peso amount, or full — and it is recorded as a real payment with its own OR number, so it already counts against the balance.
  6. Save with the button that matches your intent: Save as Pending holds an unconfirmed enquiry, Confirm Reservation books it outright.
  7. Group bookings take no deposit on this form. Tick a second room and the deposit panel disappears — money is collected per room. Create the group, then open each reservation and record its payment.

Guest mobile numbers

The mobile field is country-coded. It opens on +63 for Philippine guests, and the list beside it covers the markets that walk in — Korea, China, Japan, the US, Singapore, the Gulf and more.

The date rule everyone trips on

Stays are half-open: the check-out date is a departure day, not an occupied night. A guest leaving Saturday and a guest arriving Saturday can share the same room — that's a normal same-day turnover, and the system allows it.

Senior Citizen / PWD discounts

Tick the senior or PWD box on the form and enter the OSCA/PWD ID (required by law — RA 9994 / RA 10754). The system applies 20% off + VAT exemption to one guest's share automatically and files it in the compliance reports.

Statuses at a glance

pending → confirmed → checked_in → checked_out, with cancelled and no_show as exits. Check-in, check-out, cancel and no-show can all be undone from the reservation page (see the next topic). Confirming is the exception — there is no un-confirm, so a booking confirmed by mistake stays confirmed.
